I ran into this problem with emojis before. I solved it by encrypting the directory tree with Cryptomator. Dropbox syncs the encrypted files with no problem.
Pre-ordered last week, just going through the manual now. Finding this so helpful. Have always struggled with categorising. This is speeding up my system organising massively. Hopefully I’ll have a life soon. It is taking a lot of the guess work and decisions out, a great addition to the workshop and workbook. Thank you very much. And thank you for not making this a "get rich quick scheme”, “lazy recycling of content”…and making it all affordable for the working class. I’ve been duped a few times. Glad I took the risk in pre-ordering your workshop when I barely knew what to expect. Desperate for a system like this and with the new manual, everything is falling into place. Thank you again.
It has been well thought out I feel like you’ve included everything so far. I just wish there was more on managing a family in life admin/areas. I have ended up giving my children their own version of “me and others”.
I’ve been playing around with this JD system for months now and was using PARA previously, feeling like something wasn’t flowing right but now I feel like I can finally come to a finish.

Edit to add, I want whatever system I have for my children to serve them in the long run, so when they are old enough to need the information for themselves, they can easily navigate it and hopefully follow on from what I have created.
Excited to dive into this, Johnny! I’m currently moving all my files over to Proton Drive and decided to take the opportunity to fix a couple areas, mainly life admin. Serendipitous that this should arrive at the perfect time.
@johnnydecimal I’m not sure if I have missed this somewhere, but where should photographs and videos go? Would they fit somewhere within these categories? Or would it be a completely separate area?
Well done on the new product guys. I’ve just had a look through and I think it would be a great option for those who want to be organised and are willing to spend some time putting a system in place but who aren’t posting on organisation system message boards (ahem).
For most things, my instinct is to put family members within categories, labeling either documents or ID folders with their initials. If I’m taking a trip, all of us are, so all of us need visas, immunization records, etc. and it seems weird to have to “back out” to the root folder each time to get the next person’s visa to print or copy.
But thinking more, others might need their own categories, as the kids also have their own school records, hobbies, etc. You might want to create a some template folders for kids, mine have a lot of school documents (not just homework or grades, but also school admin, calendar, activities, emails on different topics). I haven’t thought yet how to organize those.
I generally recommend saving photos and videos in a dedicated app. They’re one of the things that doesn’t do well in a JD-like hierarchy. Mine are all in Apple Photos.
I’m American and visit China frequently. China visas are 10-year visas, not trip-by-trip. And applying for them is a complex process that involves many documents and (for us) 3rd party services. Do you suggest storing multiple copies of these things in the folder for each trip to China? (I’m not being snarky, it’s an honest question.)
I think there are other categories that will be similar. Do you recommend storing everyone’s medical insurance claim information in a different root folder? That seems strange to me. I think “medical claim” and then “for person X” rather than the other way around (probably because applying for insurance reimbursement is taking an action that is very similar regardless of who it is for). It may be different for me because I am doing all life admin for both my young kids and my spouse, so having category folders for each person seems strange–it’s not like they will be interacting with the system and will want to have a folder of their own.
BTW, it’s been fascinating going through the Life Admin structure and thinking about how different your life must be from mine based on your choices. You have one folder for everything related to medical insurance (a complex nightmare for Americans) and TWO folders for plants to separate indoor and outdoor plants! I laughed out loud when I saw that.
