ToDos? Emails containing tasks?

Hi, Decimalists,
Where to temporarily store ToDos related to a particular category or ID?
Where to temporarily store emails that contain one or more tasks or a project, or important info related to a task or project?

In your to-do system of choice. I like Things.

The trick is how to structure it. I find having ‘Projects’ to the level of a category is enough. Then I use Things’ headers (bold blue text in the right pane) to subdivide by the Life Admin header.

Where necessary – we’re in the process of moving out, so 12.13+CBR moving out can be busy – I create a header for an ID. And you can see I’ve created Project-for-ID in the sidebar there as well. Still experimenting a bit with this.

Same! Just create folders that mimic your JD structure.

Note that most to-do methodologies recommend you do not store to-dos in your email. Get them out of there and into a proper to-do system.

This is very aesthetically pleasing! Please do mine  @johnnydecimal

I am using TickTick which is one of the leading task apps. Never really heard about it before, but people compare it to ToDoist.

I am using the free version so the 9 lists sort of cover my JD areas. I haven’t filled out all the tags yet.

I really like the Eisenhower Matrix:

I use the TickTick integration with Gmail, so on the web app for Gmail, I have the right side pane open that allows me to convert emails to tasks and get back to inbox zero:

And this guy has some good tutorials on TickTick:

However, I’m planning on migrating onto Heptabase. I just search the forum here and no one has mentioned this PKM system before, it’s not as well known as others. But it has a basic task manager, and you can create tagles - Tags that have a database system so you can create different view like Kanban boards for more effective task management.

They are actively developing in many different areas, so eventually they will improve their native task management. But without the Gmail integration, it might not work for me.

I’ll be talking more about my migration from Onenote to Heptabase once I complete organising my life around JD principles in the next six months. I started in October 2024 so I’m about halfway.

@johnnydecimal - You need to get your head around Heptabase, it is going to blow your socks off. I haven’t even used it yet, just pulling together the research from Medium, YouTube, the wiki.

This looks so super cool!

This is a problem for which AFAIK there is no good solution on the market yet (besides CRM systems).

You get email.
The email contains a task.
You create the task from it.

Then you answer the email or send another emails asking someone else something related to the task.

And now it’s decoupled.

You need additional tasks to remind you later to check if you got the replies.

And later when you get replies, you have no idea to which tasks (the original task or the subsequent) they belonged and what to do with them.

Just another reason why email is totally broken and needs to die! :face_with_tongue:

Oh, great. Another PKM to master, and I just started (re)-learning Obsidian!! Seriously, tho, the tagles does sound potentially very useful.
