Multiple systems, existing customer numbers and my good friend quick access

A big hello to all followers of the JD system!

Another day, another challenge :grinning:

We are planning a huge redesign of the knowledge base of one of our teams. There are a few different technologies in which our projects are implemented. Therefore, the first step was to think of these technologies as our systems.

CUB01
CUB02
CUB03

For sure, there has to be some kind of mapping or key legend like

01 ... Technology1
02 ... Technology2
...

for our future selfs :wink:

Next we have customers. They already have a 5 digit customer number in our preexisting system.

CUB01
    CUB01.12345 Customer01 -> fully qualified -> you already know the issue with Windows Quick Access Johnny ;)
    CUB01.23456 Customer02

Next we have all things of customer related documents, checklists, process description for each customer.

CUB01
    CUB01.12345 Customer01
        10-19 Organization
            11 Correspondence
            12 Planning
            13 Analysis
                13.01 Analysis01
                13.02 Analysis02
        20-29 Preps
            21 Hardware Orders

This would all make sense if there wasn’t the well known problem of full qualification and Windows Quick Access. See my other post [link]

If I have to fully qualify all folder names it would like this.

CUB01
    CUB01.12345 Customer01
        CUB01.12345.10-19 Organization
            CUB01.12345.11 Correspondence
                CUB01.12345.12 Planning
                CUB01.12345 13 Analysis
                    CUB01.12345.13.01 Analysis01
                    CUB01.12345.13.02 Analysis02
        CUB01.12345.20-29 Preps
            CUB01.12345.21 Hardware Orders

Wow, just look at the crazy prefix for Analysis01 and 02 :grimacing:
Does none of you have similar problems❓

How do you deal with favorites, quick access and the fact that if you don’t fully qualify all folders, you no longer are have an exact assignment of subfolders?
